HireJustNow (“HireJustNow”, “we”, “us” or “our”) respects your privacy. This policy explains what personal information we collect when you visit hirejustnow.com, contact us, download one of our guides or respond to one of our advertisements (including LinkedIn Lead Gen Forms), how we use it, and the rights you have over it.
We process personal information in line with South Africa’s Protection of Personal Information Act, 2013 (POPIA). Where we process the personal information of people in the United Kingdom or European Union, we also apply the UK General Data Protection Regulation (UK GDPR) and the EU GDPR, as applicable.
Who we are
HireJustNow is an Employer of Record (EOR) and entity setup provider that helps international businesses hire and manage employees in South Africa. For the purposes of POPIA we are the “responsible party”, and for the purposes of the UK GDPR and EU GDPR we are the “controller” of the personal information described in this policy.

The information we collect
Information you give us. When you complete a form on our website, book a discovery call, download a guide, apply for a role or submit a LinkedIn Lead Gen Form, we may collect:
- your name and surname
- your email address and phone number
- your job title, company name, company size and country
- the content of any message you send us
- any other details you choose to provide in a form field, such as your hiring plans
- if you apply for a role, your CV and the information it contains
Information collected automatically. When you browse our website, we and our service providers may collect technical information such as your IP address, browser type, device type, pages visited, time spent on pages and the website or advertisement that referred you. This is collected through cookies and similar technologies (see “Cookies and tracking” below).
We do not intentionally collect special personal information (such as health, religious or biometric information) through this website, and we ask that you do not include it in any form or message.
How we use your information
We use your personal information to:
- respond to your enquiries and requests, including discovery call bookings
- send you the guides or resources you requested
- follow up with you about our EOR and entity setup services, where you have shown interest in them
- prepare proposals and manage our relationship with you if you become a client
- send you relevant updates and insights about hiring in South Africa, where you have agreed to receive them or where the law otherwise allows (you can opt out at any time)
- assess applications for roles at HireJustNow
- measure and improve the performance of our website and advertising
- meet our legal and regulatory obligations
We will not sell your personal information, and we do not use it to make decisions about you based solely on automated processing.
LinkedIn Lead Gen Forms
When you submit a LinkedIn Lead Gen Form for one of our campaigns, LinkedIn shares the details in that form with us (typically your name, email address, job title, company and any answers you give). We use this information only for the purpose stated on the form, such as sending you a guide, arranging a call or following up on your interest in our services. We may pass it to our customer relationship management (CRM) and email tools so that we can respond to you. LinkedIn’s own processing of your information is governed by the LinkedIn Privacy Policy.
Our legal grounds for processing
Under POPIA and the GDPR, we rely on one or more of the following grounds:
- Consent: for example, when you opt in to marketing communications. You may withdraw your consent at any time.
- Contract: where processing is needed to take steps at your request before entering into an agreement, or to perform an agreement with you.
- Legitimate interests: for example, responding to business enquiries, following up on interest you have shown in our services and improving our website, provided these interests are not overridden by your rights.
- Legal obligation: where we must process information to comply with the law.
Cookies and tracking
Our website uses cookies and similar technologies to keep the site working properly, to understand how visitors use it and to measure the effectiveness of our advertising. These may include tools such as Google Tag Manager, Google Analytics and the LinkedIn Insight Tag. Where required by law, we will ask for your consent before setting non-essential cookies.
You can control or delete cookies through your browser settings. Blocking some cookies may affect how parts of the website work.
Who we share your information with
We share personal information only where necessary, and only with parties who are bound to keep it secure and confidential. These include:
- Service providers who help us run our business, such as website hosting, form and CRM providers (for example Zoho), email, analytics and advertising platforms (for example Google and LinkedIn), and our marketing agencies
- Professional advisers such as lawyers, auditors and accountants
- Authorities and regulators where we are legally required to do so
International transfers
Because we work with clients in the United Kingdom, Europe and elsewhere, and because some of our service providers store data outside South Africa, your personal information may be transferred to or stored in other countries. When this happens, we take steps to make sure your information receives an adequate level of protection, as required by section 72 of POPIA and, where applicable, the UK GDPR and EU GDPR. This may include relying on binding agreements or standard contractual clauses with the recipient.
How we protect your information
We use appropriate technical and organisational measures to protect personal information against loss, misuse, unauthorised access, disclosure or alteration. These include access controls, secure systems and confidentiality obligations for our team and service providers. No method of transmission over the internet is completely secure, but we work hard to protect your information.
How long we keep your information
We keep personal information only for as long as we need it for the purpose it was collected, or as required by law. As a guide:
- Enquiries and marketing leads: up to 24 months after our last interaction, unless you become a client or ask us to delete your information sooner
- Client information: for the duration of our relationship and afterwards for as long as legal, tax and regulatory requirements oblige us
- Job applications: up to 24 months after the recruitment process ends, unless you agree to us keeping your details for longer
- Website analytics data: in line with the retention settings of the relevant analytics tool
When information is no longer needed, we securely delete or anonymise it.
Your rights
Depending on where you are located, you have the right to:
- ask whether we hold personal information about you and request a copy of it
- ask us to correct or update inaccurate or incomplete information
- ask us to delete your information or restrict how we use it
- object to our processing of your information, including for direct marketing
- withdraw your consent at any time, where we rely on consent
- request that your information be transferred to another organisation (data portability, under the GDPR)
- lodge a complaint with a data protection authority

Complaints
If you are unhappy with how we have handled your personal information, please contact us first so we can try to resolve it. You also have the right to complain to the relevant regulator:
